Under the direction of the Log & Admin Coordinator, the Logistics Officer will be responsible for implementing program administration and support activities related to office administration, operations, logistics, finance, and program implementation.

DIMENSIONS OF THE ROLE

  • Contributes to targets and strategies within the Country response, influences policies.
  • Identifies potential risks in the logistics functions, their mitigation strategies and supports managers to adopt and implement those strategies.
  • Manages resources to achieve defined areas of responsibility.
  • Supports donor compliance by ensuring established Oxfam systems in relation to logistics management among staff and partners are followed through.
  • Assists on establishing support and oversight procedures and practices towards the local partnerships.
  • Contributes into an understanding of women’s rights and gender analysis within Logistics and Admin team

KEY RESPONSIBILITIES:

  • Supports effective coordination of Oxfam’s Admin & Supply/Logistics input in program assessments, planning and design
  • Implements Logistics related activities for Oxfam Ukraine (procurement, warehousing, asset management, transport & distribution, fleet management, office and guesthouse maintenance, staff travel).
  • Support and maintain robust fraud mitigation measures and establish a culture of compliance across the business support functions.
  • Support teamwork between Admin/logistics, finance, and programme functions.
  • Ensure that purchasing/logistics and administration procedures are consistent with corporate standards, clearly defined and understood and operated effectively throughout the response
  • Work with local partners organisations to support with assessing needs, identifying logistics capacity building needs, and supporting them in the implementation of their activities
  • Support Admin and Logistics Coordinator to supervise, manage and coordinate all Supply & Logistics related activities from the technical and management point of view in a professional manner
    • Check the market and establish local prices for materials used by the projects and office

Experience, Knowledge & Competencies

Essential

  • Office administration and/or management experience;
  • Experience managing logistics for conferences, trainings and study tours;
  • Excellent oral & written communication skills;
  • Strong computer skills, including Microsoft Word, Excel and Outlook;
  • Experience providing logistics and administrative support for emergency programs preferred;
  • Strong interpersonal skills, ability to interact effectively with partners, donors and other relevant stakeholders and personnel associated with this program;
  • Highly detail-oriented, organized, and able to handle multiple projects at once;
  • Fluent English and Ukrainian language knowledge
