Job Purpose

The Executive Assistant (EA) to the Executive Director provides high-level operational and administrative support to the Executive Director to ensure the smooth functioning of the ED’s office. The role requires exceptional organizational skills, discretion, and the ability to manage complex tasks in a fast-paced, mission-driven environment.

Essential

  • Bachelor’s degree in Business Administration, Management, Communications, or related field.
  • 5+ years as an Executive Assistant or equivalent position, preferably in non-profit, development, or public sectors.
  • Experience with Oxfam is an advantage.
  • Must be immediately available.

Skills 

  • Exceptional written and verbal communication. 
  • Strong project management and multitasking abilities. 
  • High emotional intelligence and cultural sensitivity. 
  • Proficiency in MS Office, CRM tools, and virtual collaboration platforms.

KEY RESPONSIBILITIES:

1. Executive Support

  • Manage the ED’s calendar, appointments, travel arrangements, and correspondence. 
  • Prepare and organize briefing materials, reports, and presentations for meetings. 
  • Anticipate the ED’s support needs and proactively address challenges. 
  • Handle confidential and sensitive information with professionalism and discretion. 

2. Coordination & Communication 

  • Support the ED in Board meetings and communications.
  • Support the ED in communications with donors, government agencies, and other stakeholders, as delegated. 
  • Draft, review, and edit correspondence, memos, speeches, and official documents on behalf of the ED.
  • Attend meetings, take minutes, and track follow-ups, as delegated.

3. Project Management

  • Assist in coordinating key organizational initiatives, fundraising campaigns, and advocacy efforts. 
  • Plan and execute logistics for ED-led events, conferences, and donor engagements. 
  • Manage ED-led projects, including budget monitoring and report-writing. 
  • Monitor timelines and deliverables and help ensure project alignment with strategic goals.

4. Research & Policy Support

  • Conduct research on sector trends, funding opportunities, and policy developments. 
  • Summarize reports, grant proposals, and policy documents for the ED’s review, as delegated. 

5. Other duties

  • Perform any other tasks or special assignments as may be delegated by the ED.

 

Contract Length: Full-time, short-term contract, July -2025 – March 2026
