Internship, Supply Chain (INT10779)

The Role:

 

Working directly with the logistics team, as well as indirectly with partners, internal departments, suppliers, and other stakeholders.  

 

Specific responsibilities   

Supply management:  

  • Ensure that bills, invoices, and purchase orders /contract are reviewed before being submitted for payment or signature.
  • Provide support to the Supply team by assisting with OXFAM and donor compliance requirements.
  • Assist the supply team with the timely dispatch of tender documents, TORs, and the preparation of contracts
  • In the absence of the Supply chain officer, organize tender committee meetings.
  • Maintain an appropriate record of all procurement activities, decisions, and contracts the process is accurately documented for the purposes of accountability and auditing.
  • Responsible for overall procurement files as per set standards, data flow, and all other relevant files.
  • Upload scanned documents to Box per project folder and share the Box link biweekly.
  • Timely payment facilitation for suppliers
  • Proactively and effectively communicate with the logistics team (procurement, fleet, warehouse).
  • Establishing and maintaining ethical, professional relationships with suppliers.

An ideal candidate for the role will also be / have:

 

A bachelor's degree in logistics or supply chain management, or any other field that can add value to the position. 

 

  • Newly graduated students without any experience.
  • Strong communication and writing skills.
  • Experience using computers and Microsoft Office applications
  • Ability to work in a team environment as well as independently.
  • A desire to analyze data and a high level of attention to detail.
  • Excellent planning and prioritization abilities.
  • Self-motivated, dependable, and a good problem-solver.
  • Ability to work effectively in a diverse team
  • Willing to work additional hours when necessary.
